This privacy notice explains what information the council needs in order to administer commercial tenancies.

In order to provide this service, it is necessary for the council to collect, store and process personal data relating to commercial tenants. 

Safeguards are in place to ensure that this data is kept secure and the privacy of individuals is protected.

Who is responsible for your information?

Chesterfield Borough Council is the data controller for the personal information collected.

Purposes of processing your personal data

We need to process the personal information of commercial tenants in order review your application for a commercial tenancy and to manage your tenancy. This could include the following processes:

  • reviewing tenancy applications and competing a credit check
  • managing tenancy
  • rent collection and invoicing
  • utilities and insurance administration

Categories of personal data and lawful basis

In order to provide this service, we may need to process some or all of the following categories of personal information:

  • contact details
  • financial details
  • age and National Insurance number

Under data protection legislation, we are permitted to use your information this way because it forms part of the performance of a contract.

We only carry out a credit check with your consent.

Who we share your personal data with

With your consent, we will share your information with your solicitors or representatives.

As part of your contract with us, we will share your information with utilities providers and our insurance company. We may also share your information with debt collection agencies if you fail to pay your rent.
