Venues privacy statement

This privacy notice explains what information the council needs in order to deliver the services offered by the Winding Wheel, the Pomegranate Theatre and other venues the council manages. 

In order to provide these services, it is necessary for the council to collect, store and process personal data relating to event attendees and organisers. 

Safeguards are in place to ensure that this data is kept secure and the privacy of individuals is protected.

Who is responsible for your information?

Chesterfield Borough Council is the data controller for the personal information collected.

Purposes of processing your personal data

If you book a ticket to one of our shows or events, we will use your information to contact you if the event details change. We may also use this information for internal reporting, or to contact you to review the quality of the service we provide. If you provide us with accessibility requirements, we will use this information to make sure that any necessary arrangements are in place.

We may need to collect the following information from you:

  • contact details
  • payment card details.

Under data protection legislation, processing of your information is allowed because it forms part of the performance of a contract. 

You can sometimes book a ticket for an event without providing contact details, but you would not be informed about changes or cancellations of an event.

Your card payment details are not stored on our system.

Categories of sensitive personal data and lawful basis

We may need to collect the following sensitive information from you:

  • accessibility requirements.

Under data protection legislation, processing of your sensitive data is allowed because we have the explicit consent of the individual. 

You do not have to provide use with this information in order to book a ticket, but please be aware that we only have a limited number of wheelchair accessible seats. If you do not tell us about any accessibility requirements in advance, we cannot guarantee we will be able to accommodate you.

Who we share your personal data with

If there is a last minute change to an event, we may send you a text message (if you have provided us with a mobile number) to inform you of the change. We do this by sharing your mobile number with the third party provider TxtLocal Limited. You can find the TxtLocal Limited privacy statement on their website.

If you book tickets online through the Chesterfield Theatres website, your booking will be processed by Tickets.com. For more information, have a look at the chesterfieldtheatres.co.uk privacy policy and the tickets.com privacy policy.

Tickets.com uses servers based in the USA, so you data will be transferred outside of the EEA. Tickets.com is a member of the privacy shield scheme that ensures organisations maintain equivalent privacy protections to those in force in the EEA.

Information about upcoming events and offers

Purposes of processing your personal data

We will also use your information to provide you with details of upcoming shows and events happening at our venues. You do not have to agree to this processing to book a ticket, and you can opt of receiving marketing material at any time by contacting the box office (01246 345 222 or box.office@chesterfield.gov.uk). Please note that we may still contact you about changes to the event that you have booked tickets for.

Under data protection legislation, processing of your information is allowed because we have the consent of the individual or because we have a legitimate interest in contacting previous customers about upcoming events and offers. 

You can withdraw your consent or opt out of this processing at any time. You can do this easily by contacting the box office or clicking the unsubscribe link at the bottom of our emails.

We have contracts and safeguards in place to ensure that your information is kept safe and secure and only processed for the purposes stated above.  These third parties include:

Friends of the theatre

When you sign up as a Friend of the Theatre, we will process your personal information in order to administer priority tickets purchases and the Friends discount, and to contact you about your membership and upcoming shows and offers.
