My Chesterfield account privacy notice

This privacy notice explains what information the council collects when you use your online My Chesterfield account.

Who is responsible for your information?

Chesterfield Borough Council is the data controller for the personal information collected.

How we collect your data

Most information held for the purpose of providing your account will be information that you have provided about yourself. Some processes (like checking your identity) will also include matching information you provide against information we already hold about you in other council systems. 

Some information about how you use your account will be collected automatically by session cookies placed in your browser. These cookies are essential for the functionality of the website.

Purpose of processing

Providing your account

When you create an account you will be able to access multiple services using a single login. In order to provide the account functionality, we will use your account information to:

  • determine that your application for an account is genuine and to verify your identity, you may have to provide information that we can check with other sources to prove your identity
  • help you with queries you may have about your account
  • develop and improve the services we offer
  • protect both you and the My Chesterfield service from fraudulent or malicious use 

Onward processing

We will also use the information you provide to create a single instance of your personal information. This information may then be used for other purposes by other council services.

The services that you access through your account will also process any information that you submit to them. Please refer to the relevant service specific privacy notice for more information about how your personal data will be used by that service. 

Prevention and detection of fraud

Information may also be used for the prevention or detection of fraud, or the recovery of public funds. Some data matching may occur as part of the National Fraud Initiative. Please see the National Fraud Initiative privacy notice for more information.

Marketing

We will only send you marketing if you have consented to us doing so. You can withdraw your consent or manage your preferences at any time by going to My Details on your My Chesterfield account.

Categories of personal data and lawful basis

In order to provide your My Chesterfield account, we need to process the following categories of personal information:

  • contact details
  • username and password
  • proof of identity
  • marketing preferences
  • information about the way you use your account
  • financial information – for example if you make a payment for service through the account 

Under data protection legislation, we are permitted to use your information this way because it forms part of a public task or a legal obligation, is necessary for the performance of a contract, or because you have provided your consent.

When you access a council service through your account, you may be asked to submit further information. Please refer to the service specific privacy notice for more information about the type of data held by a council service and the lawful basis for the processing.

Who we share your personal data with

Some of the information you provide when you create a account may be used to update records across the council, and to create a single instance of your personal information that is accessible across multiple council services. 

Your account information may be shared where there is a legal requirement or legal gateway to do so (for example for the prevention or detection of fraud). Please see the council’s main privacy notice for more information about how your data may be shared with other organisations.
